Supported data formats for order documents
WorKI (our AI) understands the most common data formats. These can be roughly divided into 3 categories: PDF documents, Excel spreadsheets, and e-mails where the order information is directly in the e-mail.
In principle, our AI is specialized in reading data from PDF documents, but to support other data formats, we first convert them into a PDF and then process them further. This offers you the advantage that you can simply archive the resulting PDF document and you only have to process PDFs.
PDF and image documents
Supported formats:
PDF (machine-generated and scanned).
Scanned documents are best sent to us at 300 dpi.
TIFF
Common image formats such as PNG, JPEG, etc.
Word documents in doc. and docx. format
Restrictions:
Processing time may be longer for very large documents.
Tables with order items may only be placed below each other, not next to each other
(--> one item number per line).
Handwritten orders can only be processed to a limited extent.

Excel and CSV documents
Supported formats:
CSV files in all common formats
Excel files with .xls and .xlsx file extensions
Restrictions:
The Excel may contain a maximum of 30 lines with content. All additional lines will be ignored during processing.
The file must contain all data relevant to the orders (customer, delivery address, etc.). A combination with data from the sender's e-mail is not possible.
The original Excel cannot currently be made available to you after processing.

Email orders
Supported formats:
Text e-mails
HTML emails
Restrictions:
The order in the e-mail must be created in a table format. This means that there must be an article-quantity combination in the respective line. An extraction from complete free texts is currently not possible.
General notes
Please make sure that you forward us the orders by mail sorted by type. This means that you either send only PDFs or only Excel/CSV files. If, for example, an Excel and PDF file is attached to an order, we will discard the Excel file and process only the PDF files.
